Full Service Management

At Doss & Spaulding Properties, we believe in full transparency when it comes to our fee structure. We understand that trust is the foundation of any successful partnership, which is why we're committed to being upfront about how we make money. There is no doubt you can always find someone to manage your properties for less, but they often sneak in hidden charges throughout the process. Our general fee structure is provided below for your reference. However, we recognize that each property and investor situation is unique. These fees may be adjusted based on factors such as property type, location, or specific management demands such as furnished versus unfurnished. For investors with large portfolios or multiple properties, we encourage you to reach out directly. We're happy to discuss potential discounts and work together to create a customized solution that aligns with your investment goals and budget. At Doss & Spaulding Properties, our aim is to provide exceptional value while maintaining the highest standards of service and transparency.

- Leasing/Placement Fee -

50-75% of 1 Month's Rent

  • 50% of first full month's rent for leases 3-6 months
  • 75% of first full month's rent for leases longer than 6 months
  • Detailed market analysis report with rental comps
  • Professional counsel on preparing your property for rent
  • Complimentary property inspection to ensure the property is rent-ready and potential maintenance concerns are addressed proactively
  • Furnished Rentals: 1 hour of complimentary staging
  • Professional photos
  • Property walkthrough video
  • Property marketing and syndication across multiple social media and real estate platforms
  • Unlimited property showings for prospective tenants
  • Cross-marketing with approved applicant pool
  • Process and screen applications for prospective tenants in compliance with FHA, ADA, local landlord-tenant laws, and other applicable guidelines
  • Approve qualified applicants for move-in
  • Negotiation and preparation of the lease
  • Collect security deposit, rent, and all other move-in funds
  • Hold a lease signing appointment with the new tenant(s) to explain the lease and set clear expectations
  • Verification of utilities transfer and renter's insurance prior to move-in.
  • Coordinate move-in and key exchange with tenant
  • Welcome email to tenant with all pertinent information and final steps before move-in
  • Obtain a complete Move-In Property Assessment Form

- Satisfaction Guarantee -

No Termination Fees

Our goal is 100% client satisfaction, so if you ever feel that we are not delivering at a high level, you may cancel your management contract with a 30-day notice. There are no termination fees. We hold ourselves to the highest standards and we expect you to do the same.

- Management Fee -

10% of Rent Collected

  • Rent collection and property bookkeeping
  • Electronic disbursements of net rent collected
  • Real-time access to owner financial statements through the owner portal
  • Proper accounting to view for year-end tax write-offs
  • Ensure property upkeep and maintenance
  • Enforce city, county, HOA and lease compliance
  • Aim for a 3-5% rent increase at lease renewal, in a healthy rental climate
  • Promptly respond to tenant inquiries and maintenance requests
  • Open and ongoing communication with us regarding your asset(s)
  • Biannual 5-point property walkthrough inspections with detailed reports
  • Move-out inspection with security deposit reconciliation
  • Preparation of Year End Owner Statement and 1099-MISC tax form

- Contractor Admin Fee -

15%

A 15% administrative fee is charged for repairs, maintenance and other work that we outsource. This fee is capped at $500 for larger jobs such as HVAC or roof replacements. This fee covers our time and resources to:

  • Coordinate work with contractor/tenant schedules
  • Process paperwork for billing and bookkeeping
  • Oversee and verify satisfactory completion of the work
  • Manage vendors/contractors
  • Visits to property to obtain multiple bids for larger jobs

- Lease Renewal Fee -

$200 Flat Fee

  • Rental comparative market analysis
  • Negotiation of lease renewal terms and potential rent increase
  • Preparation and execution of lease renewal paperwork

- Property Setup Fee -

$250 Flat Fee

*This fee only applies to properties that are occupied at the time they are brought on for management. If we are placing a tenant for you, this fee is waived and these services will be included in the Leasing/Placement Fee.

  • Owner, tenant, and property accounts setup on the portal
  • Thorough 5-point property inspection to document condition of property at time of management acquisition. 5-point inspection includes:
  • Interior
  • Exterior
  • Appliances/systems
  • Lease compliance
  • Documentation
  • Replace smoke detector batteries & HVAC filters (if needed)
  • Coordinate management transition with previous manager
  • Preparation of property management agreement
